What we collect, and why
Written to be read. If anything here is unclear, or you want a copy of what we hold about you, call or email and a person will deal with it.

Who we are
Augustine Realty rents out and manages residential property in the North Carolina Triad. This policy covers augustineportal.com: the public site, the resident portal, and the owner portal.
What we collect
If you apply for a home
Your name, email, phone, desired move-in date, stated monthly income, employer, and anything you write in the “anything we should know” box. You give us this directly by filling in the form.
If you send us a message
Your name, email, phone if you give it, what the message is about, and the message.
If you join the waiting list
Your email, and optionally your name, the town you want, minimum bedrooms and maximum rent. We use it for one thing: telling you when a matching home comes up. Reply to any of those emails to come off the list.
If you rent from us
Your tenancy record, lease, invoices and payment history. Most of this originates in Innago, the property-management system we use, and is mirrored here so the portal can show it to you. Repairs you report, including any photos you attach. Documents we share with you.
Automatically
Standard server logs, and an append-only audit record of significant actions: who changed a lease, who decided an application, who reset a password. That record exists so we can answer “who did this, and when” honestly, including when the answer is us.
We do not use advertising trackers, and there is no analytics or third-party script on this site.
Who can see it
- Our staff, for the job in front of them.
- Innago, the system of record for tenancies, invoices and payments. Their terms apply to what they hold.
- Neon (database) and Cloudflare (hosting, file storage, email delivery), as infrastructure. They process on our behalf; they are not given your data to use.
- Contractors, where a repair needs one. They get the problem and the address, not your ledger.
- Our own staff, and only the ones who need it. Leasing sees applications, maintenance sees the repair and the address, finance sees the ledger. Every staff action against your record is written to an append-only log we cannot quietly edit.
We do not sell your information, and we do not share it for anyone else's marketing.
Tenancy references
If you ask us for a rental reference, we generate a summary of how you paid (a percentage on time, totals, tenancy dates) at a secret web address. It is deliberately readable by anyone holding that link, because the point is to send it to a leasing agent who has no account with us.
You choose when to create one, and you can withdraw it at any time from your portal, which stops the link working immediately. We show you how many times it has been opened.
Your documents and photos
Files live in private storage. They are not publicly addressable: every request goes through /api/files, which checks the requester is allowed that specific document before returning a byte. Documents we upload default to staff-only, and are shared with you only when somebody deliberately marks them visible.
How long we keep it
Tenancy, lease and payment records are kept as long as we are required to keep them. They are financial and legal records. Applications that don't become tenancies, waiting-list entries and contact messages are kept while they are useful and then removed. The audit log is append-only and is never edited or deleted.
Your choices
Ask us what we hold about you, ask for a correction, or ask us to delete what we are not required to keep. Call (336) 645-3282 or email help@augustineportal.com. A person handles it; there is no form to find.
Emails we send are transactional: a receipt, a decision, a repair update, a reset link. We don't run a newsletter. The waiting list is the only thing you can be “on”, and one reply takes you off it.
Children
This site is for people renting or renting out property. We don't knowingly collect information from anyone under 18 other than as part of a household on a lease.
Changes
If this policy changes materially we will say so on this page and update the date at the top. See also our terms of use and our fair housing commitment.
